Privacy Policy

1. Information We Collect

We collect the following data when you use InternMax:

• Account Information: Name, email address, and sign-in method (from Google OAuth or other sign-in methods). Authentication is handled by our identity provider; we never see or store your password.
• Profile Information: Voluntary onboarding and profile responses including school, graduation year, major, coursework, skills, target industries and companies, uploaded resumes and documents, saved roles, application records, networking contacts and the outreach you draft or log, and interview practice answers including any audio you record.
• Usage Information: Device data, session activity, and interactions with AI tools.
• Payment Information: Processed securely by third-party payment providers; we do not store card details.

2. How We Use Information

We use your information to:

• Provide personalized internship recruiting guidance and recommendations.
• Improve our algorithms and product experience.
• Match you with high quality internship help from third-party InternMax partners.
• Communicate with you about updates or offers (you may opt out).
• Comply with legal obligations.

3. Data Sharing & Disclosure

• We may share data with trusted third-party service providers who assist in operating the Service, including authentication, hosting, database, payment, and AI model providers. These providers are bound by confidentiality and data protection agreements.
• Voluntary profile responses may be shared with InternMax partners such as recruiters and independent career advisors for matching users with high quality offers and services.
• Aggregated, anonymized data may be used for analytics and research purposes.
• None of this applies to data from a connected email account. That data is covered by section 4 and is never shared with partners or used for analytics.

4. Connected Email (Gmail)

If you choose to connect Gmail, InternMax gets read-only access to your mailbox. We use it for one purpose: keeping your internship search up to date inside InternMax, by adding replies from people you are networking with to your conversations, marking a role as applied when the company confirms your application, and asking you to confirm other application updates.

• What we look at: only LinkedIn notification emails, emails from applicant tracking systems and employers about your applications, and emails from contacts you have added to InternMax. We do not read the rest of your mailbox.
• What we keep: the facts we take from those emails, such as who replied and what they wrote, or which company confirmed an application. We do not store full emails.
• Who processes it: our database and hosting providers, and Google’s Gemini AI to read what each email means. It is not sent to any other AI provider.
• What we never do: sell it, use it for advertising, share it with InternMax partners, use it to train AI models, or let anyone at InternMax read it unless you ask us to, it is needed for security, or the law requires it.
• Your control: disconnect at any time in Settings, which deletes everything we took from your email. You can also remove access from your Google Account permissions page.

InternMax’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. Forwarded Email

Instead of connecting Gmail, you can set up your email to forward job-related emails to InternMax’s address. This works with any email service and does not give InternMax access to your mailbox: we only receive the emails your rule forwards.

• What we do with them: the same as with connected Gmail. Google’s Gemini AI reads each forwarded email so we can update your applications and conversations.
• What we keep: forwarded emails are kept in InternMax’s mailbox, along with the facts we take from them. Our team may read forwarded emails to check InternMax understood them correctly.
• Your control: turn forwarding off in your email settings at any time. Email us and we will delete the emails you forwarded.

6. Data Retention

We retain user data for as long as your account is active or as needed to provide the Service. You may delete your account at any time to remove your data.

7. Security

InternMax uses encryption, secure servers, and access controls to protect your data. Access to your records is enforced at the database level and tied to your authenticated user id, so one student’s data is not reachable from another’s session. However, no system is fully secure; use the Service at your own risk.

8. Children’s Privacy

InternMax is built for college students and complies with COPPA. You must be at least 16 to use the Service, and users under 18 must have parental or guardian consent. We do not knowingly collect data from children without consent.

9. Your Rights

You may:

• Request access to your data.
• Request correction or deletion of your data.
• Opt out of marketing emails.

10. International Users

If you access InternMax from outside the U.S., note that your data may be processed and stored in the United States.

11. Changes to This Policy

We may update this Privacy Policy periodically. Material updates will be announced via email or on our website.
